Our client is a specialized product fabrication and installation company that has been serving the Ottawa area for over 60 years. Known for its outstanding product value and exceptional customer service, this family-run organization is in growth mode, expanding into the US market. With over 100 employees, the company is a complex manufacturer and distributor of a unique product that crosses global borders. As part of the leadership team, you will work closely with the COO to facilitate efficiencies within manufacturing and operations.
We are seeking a detail-oriented and proactive, temporary Procurement Coordinator for a 6-month contract to support our manufacturing operations. The successful candidate will assist in inventory management, purchasing, vendor management, and other procurement-related activities to ensure the seamless operation of our supply chain. This role is critical in maintaining optimal inventory levels, securing quality materials, and ensuring timely delivery from our vendors.
Key Responsibilities:
- Inventory Management:

- Monitor and manage inventory levels to ensure optimal stock levels are maintained.
- Conduct regular inventory audits and reconciliations.
- Identify and report any inventory discrepancies and coordinate resolution efforts.
- Purchasing:

- Assist in the procurement of materials, supplies, and equipment as per production requirements.
- Create and manage purchase orders, ensuring accuracy and compliance with company policies.
- Track and expedite orders to meet production schedules.
- Vendor Management:

- Maintain and develop strong relationships with suppliers and vendors.
- Monitor vendor performance, including delivery times, quality of goods, and service levels.
- Negotiate pricing, terms, and contracts with vendors to secure favorable agreements.
- Documentation and Reporting:

- Maintain accurate records of purchases, pricing, and other procurement-related activities.
- Prepare regular reports on inventory status, purchasing activities, and vendor performance.
- Ensure all procurement documentation is up to date and filed appropriately.
- Cross-Functional Collaboration:

- Work closely with the production, finance, and logistics teams to align procurement activities with overall business needs.
- Assist in resolving any supply chain or procurement issues that may arise.
- Compliance:

- Ensure all procurement activities comply with company policies and health & safety regulations, and best practices.
- Support the implementation of any new procurement processes or systems as needed.
The ideal candidate will hold post-secondary education in Supply Chain Management, Business Administration, or a related field, though this is preferred rather than required. They should have a minimum of 2-3 years of experience in procurement, supply chain, or a related field, ideally within a manufacturing environment. Strong organizational skills and attention to detail are essential, as well as excellent communication and negotiation abilities. Strong inventory management within a manufacturing and warehouse setting is needed. Proficiency in procurement software and the Microsoft Office Suite (Excel, Word, Outlook) is expected. The candidate should be capable of working independently and handling multiple tasks in a fast-paced environment, with a solid understanding of inventory management systems and best practices.
